ADMINISTRATIVE ASSISTANT – FLEET COORDINATOR

Process and handle all aspects relating to company vehicles and drivers. Serve as back up for Front Desk Receptionist. Assist in the Human Capital Department.

Essential Duties

FLEET COORDINATOR ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Follow procedures relating to purchase of new and transferred company vehicles and fuel cards.
  • Notify insurance carrier regarding the purchase of new vehicles and transfer of vehicles, new drivers, and vehicle accidents.
  • Distribute vehicle insurance cards, registrations to all drivers.
  • Process MVR reports on all drivers as needed.
  • Handle payment of Florida Department of Transportation violation notices.
  • Set up and process all windshield damages/replacements.
  • Maintain safety requirements and regulations for all company vehicles.
  • Record and calculate quarterly personal mileage reports for all field drivers.
  • Makes copies of correspondence or other printed materials.
  • Arranges and coordinates travel schedules and reservations for Company vehicles.
  • Orders and maintains supplies and arranges for equipment maintenance.

 

ADMINISTRATIVE ASSISTANT ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assists with on-boarding of new hires, reference checks, etc.
  • Prepares outgoing mail and correspondence, including e-mails.
  • Composes and types routine correspondence.
  • Organizes and maintains file system and files correspondence and other records.
  • Makes copies of correspondence or other printed materials.
  • Assists other departments as needed.
  • Covers reception duties during lunch breaks and vacation for receptionist.

RECEPTIONIST ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Operates multi-line incoming telephone system, retrieves voice mail messages, determines purpose of callers, and forwards to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers and screens manager’s telephone calls.
  • Answers questions about our organization and provides callers with address, directions, and other information.
  • Organizes and routes incoming mail.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

EDUCATION AND/OR EXPERIENCE

A 4 year college degree is required.  Related experience and/or training is preferred.

LANGUAGE SKILLS

Ability to read and comprehend detailed instructions, correspondence, and memos. Ability to professionally execute excellent verbal and written communications. Ability to effectively present information in one-on- one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
