Billing Associate

Responsible for processing all premium collections, reconciliations, and other functions in Billing Center.  Provides support to Underwriting and Sales regarding billing and commission related issues.

Essential Duties

Daily Job Duties:

  • Process premium payments received via lockbox, credit card, ACH or e-checks, and remote deposits.
  • Reconcile payments daily and update the Cash Sheet.
  • Review and process Suspense payments.
  • Document and return invalid payments according to defined procedures.
  • Review and approve disbursements based on certain threshold.
  • Document and track undeliverable refund checks according to defined procedure.
  • Assists the Underwriting team with the escalated billing issues.
  • Response to billing email inquiries from Underwriting and Agents.
  • Answer incoming calls for commercial policy phone queue.
  • Review and close activities and trouble tickets.
  • Report lockbox payment processing issues to the banks and update the log.
  • Handle credit card chargeback payments.
  • Review and setup Producer ACH information in Guidewire.
  • Support Sales and Agents on all commission email inquiries.
  • Collect and update Policy Writer W-9.
  • Ad Hoc Projects.


Monthly Job Duties:

  • Assist in UAT and complete checklist.
  • Perform routine administrative tasks.
  • Other responsibilities to be determined.

College Degree and some years+ related experience preferred.


Ability to read and comprehend detailed instructions, correspondence, and memos. Ability to professionally execute excellent verbal and written communications. Ability to effectively present information in one-on- one and small group situations to customers, clients, and other employees of the organization.


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
