Executive Assistant

Provides administrative and clerical support to the Corporate Department.

Essential Duties

  • Provides support for manager, EVP or higher in the Corporate Department
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Maintaining comprehensive and accurate records
  • Performing minor accounting duties
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Answering phone calls in a polite and professional manner
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters

  • Work independently and within a team on any special, nonrecurring or ongoing projects, at the request of manager, EVP or higher in the Corporate Department.

This job has no supervisory responsibilities.

Must be able to interact and communicate with individuals at all levels of the organization.

Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, PowerPoint).

 

Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.  Must be able to work in a fast-paced environment with demonstrated ability to handle multiple tasks and demands.

EDUCATION AND/OR EXPERIENCE

Associate degree required, Bachelor degree in business preferred.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.
